Opportunity
Honour Secondary School requires an Administrative Assistant who will work in collaboration with the Principal and the Teacher. The Administrative Assistant is responsible for maintaining proper program records, including report cards, uploading documentation to the Ministry of Education data management system (MyEd), and supporting the team with inspection and audit requirements. The admin assistant has excellent organizational and time management skills, strong verbal and written communication skills, the ability to support web-based technology platforms and the ability to multi-task.
The successful applicant will have a minimum of 2 years of direct administrative support.
Responsibilities
- Providing accurate word-processing support, editing and composing a wide variety of documents, assisting with organizing meetings, special events and projects as directed.
- Maintain Ministry of Education student database (MyEd)
- Perform administrative duties as requested by leadership, including OSH Agenda and minutes during meetings
- Responsible for ordering, tracking, and organizing office supplies, cleaning supplies and business cards as requested by the principal
- Operate and ensure general care and maintenance of all office equipment; liaise with equipment companies for regular maintenance and urgent requests
- Ensure student records are accurate, confidential, and up-to-date.
- Knowledge and experience in trauma-informed care and harm reduction an asset
- Knowledge and experience in social services, child and youth care, and local demographics an asset
- Performs all other related duties as required
Qualifications
- Criminal Record Check, including the vulnerable sector.
- Standard First-Aid certification and CPR
- Advanced computer skills including Microsoft Office Suite; certificate or diploma in Office Administration and two years experience in a busy environment; equivalent experience and education considered.
- Demonstrated ability to be flexible and adaptable, effectively prioritize tasks and manage time; capable of switching focus from one task to the next, responding appropriately as needs evolve
- Experience creating and working within a culturally inclusive environment for staff, partners, and participants
Additional Assets
- Experience working in a school or social services environment.
- Experience working with youth and families.
