Opportunity

Foundry Surrey is seeking an Administrative Assistant to assist with the continued development of our site and working plans. This role will transition into a front-facing, welcome staff role once we open our doors later this year. The workspace will be centrally located within the hub, and the successful candidate will be adaptable to work within a lively and often noisy environment. This position is the first point of contact for multi-barrier youth, visiting professionals, and guests. The successful applicant will have experience working within a multi- program/multi-partnership, youth-focused environment. They will possess excellent customer service skills and an exceptionally welcoming manner. This position requires excellent organizational skills, effective time management, attention to detail and the ability to prioritize and complete multiple tasks within a fast-paced environment.

 

The successful applicant will have a minimum of 2 years of direct administrative support.

 

Responsibilities

  • Provide reception to all stakeholders in person or on the phone; provide knowledgeable direction to services or other staff members in-house and external community services.
  • Providing accurate word-processing support, editing & composing a wide variety of documents, assisting with organizing meetings, special events and research projects as directed.
  • Perform administrative duties as requested by leadership, including OSH Agenda and Minutes,
  • Tracking, distribution, and organization of keys/fobs for staff
  • Maintaining the general appearance of the reception area, ensuring safety and an overall welcoming environment
  • Responsible for ordering, tracking, and organizing office supplies, cleaning supplies and business cards as requested by the manager.
  • Operate and ensure general care and maintenance of all office equipment; liaise with equipment companies for regular maintenance and urgent requests.
  • Provide excellent quality of care by addressing client needs and concerns in a timely and courteous manner.
  • Assist clients with completing forms, insurance verification, and other paperwork.
  • Ensure client records are accurate, confidential, and up to date.
    • Knowledge and experience in trauma-informed care and harm reduction an asset
    • Knowledge and experience in social services, child and youth care, and local demographics an asset
    • Performs all other related duties as required.

Qualifications and Requirements

  • Criminal Record Check, Including the vulnerable sector.
  • Standard First-aid certificate and CPR
  • Advanced computer skills including Microsoft Office Suite; certificate or diploma in Office Administration and three years’ experience in a busy environment; equivalent experience and education considered.
  • Demonstrated ability to be flexible and adaptable, effectively prioritize tasks and manage time; capable of switching focus from one task to the next, responding appropriately as needs evolve.
  • Experience creating and working within a culturally inclusive environment for staff, partners, and participants.

Additional Assets

  • Experience working in social services and multi-program operations.
  • Knowledge of Foundry programs and services
  • Experience working with youth and families.
